Client Agreement
1. Introduction
This agreement outlines the terms and conditions of counselling services provided by Amanda Westphal, in accordance with the ethical guidelines of the Australian Counselling Association (ACA). By engaging in counselling or any of my programs/services, you acknowledge and agree to the following terms.
2. Confidentiality & Privacy
All information shared in counselling sessions is confidential and will not be disclosed without your written consent, except in the following circumstances:
- If there is an immediate risk of harm to yourself or others.
- If disclosure is required by law (e.g., court orders, mandatory reporting of child abuse or threats of violence).
- If required for professional supervision (where your identity remains protected).
- Use of Zoom AI Companion for Note Taking. To ensure accurate record-keeping and reduce the need for manual note taking during sessions, I may use Zoom’s AI Companion to generate automated notes. These notes are for clinical and administrative purposes only and will be stored in line with my confidentiality and privacy obligations. By engaging in counselling, you consent to the use of this tool for note-taking support.
3. Group Therapy Confidentiality
- All participants must respect the confidentiality of others. What is shared in group sessions stays within the group.
- Recording of sessions is strictly prohibited.
- Any breach of confidentiality may result in removal from the group.
- Be respectful of all members—bullying, discrimination, or disrespectful behaviour will not be tolerated.
4. Session Attendance & Cancellation Policy
- Online Sessions: If you do not arrive within 15 minutes of the scheduled start time, the session will be cancelled and charged in full.
- Cancellation Policy: A minimum of 24 hours' notice is required for cancellations. Cancellations within this timeframe will incur the full session fee.
- Emergency Rescheduling: If you have an emergency, you may reschedule within 7 days without incurring a fee.
- No Show Policy: Missed sessions without notice will be charged in full.

- I am not an emergency service provider. If you require immediate support, please contact:

6. Communication Policy (WhatsApp & Email)
- WhatsApp & Email Communication: These channels are available for administrative purposes only (e.g., scheduling, general questions).
- Respectful Communication: All messages must remain respectful and professional. Any inappropriate, abusive, or excessive messaging may result in communication restrictions.
- Not for Emergencies: WhatsApp and email are not to be used for crisis situations. Please refer to emergency contacts listed above.
7. Liability & Disclaimer
- Counselling is a collaborative process, and while I provide support, I cannot guarantee specific outcomes.
- You are responsible for your own decisions, actions, and well-being during and outside of counselling.
- I accept no liability for personal, emotional, or financial losses resulting from counselling sessions.
- If technical issues disrupt an online session, I will make reasonable efforts to reschedule at no extra charge.
8. Agreement & Consent
By engaging in my services or programs, you confirm that you:
- Have read, understood, and agree to the terms outlined above.
- Consent to participate in counselling under these conditions.
9. Mental Health Care Plans
- Amanda Westphal Counselling accepts clients with a Mental Health Care Plan (MHCP) privately. While counselling services are not eligible for Medicare rebates, clients with an MHCP are welcome to use their plan to guide and support their ongoing care. To ensure affordability, sessions under an MHCP are offered at a reduced private rate. All fees are paid directly to Amanda Westphal Counselling at the time of booking, and no Medicare claim is processed.
